National Search Services is looking for an Executive Assistant located in the Lake Buena Vista area. This is a 5 month contract with possible extension to 18 months.

Description:
- This role provides day-to-day executive administrative support for 2 [Client] Technology Directors: Director Technology Release and Systems Engineering & Technical Director Reference Architecture.
- Responsibilities include but are not limited to: scheduling meetings and general calendar & schedule management through Outlook and blue Jeans. Will assist in scheduling conference calls. Will utilize Easy Lobby to grant building access as needed for meetings.
- These directors rely on the executive assistant to manage their calendars outright. Must be comfortable coordinating calendars with a multitude of people and prioritize urgency.
- Will also assist with handling phones, arranging travel (mainly domestic); SAP processing to support administrative tasks; preparing expense reports in SAP Concur to ensure timely payment processing, coordinate team events as needed.
- Occasionally assist with executive level presentation creation, documentation of office procedures, research and provide overall office administration such as coordinating onboarding and desk locations for consultants.
- Collaborate with other administrative professionals in the organization and provide backup administrative assistance when needed. This position requires creative thinking, interaction with employees at all levels, problem solving, prioritization skills, decision-making and proficiency in all levels of communication.
Requirements:
- High school diploma or equivalent with minimum 3 years related experience, including proven experience supporting an Executive leader
- Demonstrated computer proficiency in Microsoft Word, Excel, PowerPoint, Google Docs, Outlook (calendar and email) and SAP with willingness and aptitude to learn new things.
- Demonstrated strong organization and time management skills and ability to work with confidential information
- Demonstrated ability to prioritize multiple tasks, meet deadlines, make decisions and change course when necessary. Flexibility to take on new tasks.
- Proven ability to build effective working relationships with all levels and influence all levels by being knowledgeable and credible
- Demonstrated ability to work independently and within a team environment with strong follow-through skills and attention to detail
- Demonstrated strong verbal and written communication skills
- Ability to work effectively and efficiently in a fast-paced and demanding environment with the ability to be flexible with work schedule including occasional overtime Must be able to work in a fast paced, driven, productive, and fun environment.
Preferred:
- Associates Degree or equivalent
